Given Michigan’s current economy, I’m sure that this may come as bad news to some however I would like to point out some good news as well: We are maintaining our current rate of $125 per hour for our On-site Service. Back to the bad news, due to the continued rising costs of gasoline, we have also felt it necessary to adjust our current fuel recovery surcharge of .30 cents per mile (round trip), to .40 cents per mile. As IDSI has not had a service rate increase in over 5 years, our long-standing clients know that our company is not in the habit of increasing our rates and hopefully it will be quite some time before having to do so again. Hopefully you’ll take comfort in the fact that IDS”s rates continue to be some of the lowest in our region for the type and quality of service that we provide. VOIP this… and VOIP Phones that… Well I’m happy to report that we are finally up and running on our new Voice Over IP (VOIP) Phone System.
As is true with many of the products that we sell and support, here at IDSI we typically like to deploy new technology within our own environment before we bring it to yours so I thought that I would share with you some of our findings. The new system, based on the Asterisk Open Source standard deploys something called Trixbox. With Asterisk and Trixbox installed on a dedicated PC with Voice cards installed, we are able to do all sorts of advanced call handling by bringing together the computers and phones on our desks. When calling into our office, the first thing you’ll notice is that you’re greeted by an automated attendant. Not to worry, you’ll still get the same great service from the girls and guys at IDSI and as a matter of fact, we’re pretty sure that you’re going to get better service. Like any new system, we’ve been working through some minor issues, so bear with us while we get the kinks worked out. The new auto attendant will allow you to get directly to the person or group that you want to talk to and once you select an option from our very simple menu, we’ll be better equipped to handle your calls. Unlike many auto attendants, during business hours, you’ll always have the option to speak to someone here at IDSI. I am listing the extensions of our personnel below. When certain individuals are unavailable, we will be relying a bit more on voicemail and one of the real cool features is that Trixbox will send a text message to our cell phones and send an email to our inbox notifying us of incoming messages. We can actually play these messages from anywhere that we have access to our email and we’re certain that this one feature, along with many others, will help us be more responsive to our customers. For our 24x7 Maintenance Agreement clients and those who simply cannot wait until the next business day for service, this new system will be a much more efficient means of contacting us after hours. The easy to use menus can directly connect you to one of our on-call technicians. If you are not a 24x7 Maintenance Client, the system will remind you of our after hours rates, terms and conditions, prior to connecting your call. Therefore, you will probably only want to use this option if it is a TRUE EMERGENCY. Among other things, this system is extremely configurable and can be utilized in a wide variety of environments. From a cost effective standpoint, an Open Source VOIP system is typically around 20 to 30 percent less than traditional PBX / Key Phone Systems. So if you’re in the market for a new phone system that will handle your business calls more efficiently and allow your employees to be more productive, give us a call and we’ll begin designing a custom solution to meet the needs of your organization. | | | In this issue... | | | August 2007 | Are you ready for Vista??? | | | | | | | | | Are you ready for Vista? | | | Links | | | In an effort to keep you all up to date on Microsoft Vista, I recently replaced my desktop computer with one running this new desktop operating system. Since I am a typical business-oriented computer user, with a few exceptions, the purpose of my upgrade is primarily to gain insight into what types of issues we’ll uncover when introducing Vista-based PC’s into mainstream business environments. While there are many flavors of Vista, for this live test we installed our Microsoft partner provided Enterprise Edition of Vista. This would be equivalent to Windows Vista Business. If you’re bored already, delete this email now, otherwise read on… As I’ve stated in previous newsletters, we tend to take more of a conservative approach to major system upgrades and are careful not to recommend leading or bleeding edge products before doing some in-house testing. While there’s been some positive press, the negative buzz in the industry regarding Vista of late has mostly been relating to compatibility issues with existing application programs. So the next road to cross was to find out a little bit about what programs (core to IDSI’s operation) were now broken. To give you a little foundation, we here at IDSI have operated for many years in a mixed Novell and Windows Server environment so the first hurdle to get over was just how we were going to login to our non-windows network with a Microsoft Vista PC. The only network client available to us at this time is a Beta version of the Novell Client for Vista. Once installed, it seemed to connect to our servers without much of an issue. Drive mappings were there and I was now able to browse our network. We’ll look forward to the production release of this software from Novell – coming soon. Our breadth of applications here at IDSI are pretty common to those used at many of our clients locations. We operate a mainstream accounting system from Sage called Businessvision. We utilize Microsoft Office 2003 including Word, Excel, PowerPoint and Access. Of course we use the internet and we also create PDF files in Adobe Acrobat. For email, calendaring and collaboration, we rely on Novell GroupWise for our technical scheduling and call tracking system. We also handle our in-bound and out-bound faxing using a Castelle FaxPress, as do many of our clients. I personally operate a local HP LaserJet 1300 and our shared network printers are a mix of HP LaserJet and Xerox Color Printers. In addition, my newly prepared system was also equipped with Microsoft Office 2007. At first glance, Vista sports quite a different look to the desktop so finding my way around was a bit cumbersome on day-one. Once I set my desktop to “Classic Mode” it seemed much more familiar to me and I was able to quickly find my way around. Since then, I have flipped back and forth from the Classic Menus to the Aero Desktop. I do have to admit that some of the new graphical toys present some pretty sweet eye candy. While I have not yet explored too much of the Aero Desktop and have been focusing more on compatibility issues, some of the new gadgets are, well.. kind of cool. So I must say that I was stunned and amazed that the first program that I launched, Novell GroupWise, was running without fail. In fact, it was performing much better on my new Pentium 4 desktop with Vista. While I had some issues with Access 2007 and our internal IDSI database (designed with Access 97 many years ago), we worked through the issues and I have since been able to access my client database without a problem. The third application to test was a pretty important one for me and shockingly Sage Businessvision Accounting version 6.2 has run without flaw for the last week or so despite being officially unsupported running on Vista. In fact, some of the performance issues that I had with this program on my old Pentium 4 are now history. Hooray! I hope that you’re as lucky with your accounting system as I was with mine.
Next up was the basic office suite. Word, Excel and PowerPoint seemed to operate as they should even though we have heard of compatibility issues within certain Microsoft products. Excel is an important application to me and I’m happy to report that it hasn’t blown up on me in over a week under Microsoft Vista. This is something that I haven’t been able to say while previously running under Windows XP Professional. It’s time to surf the web so let’s load up the newest version of Microsoft’s browser, Internet Explorer version 7. IE 7 for Vista has an all new look-and-feel. The navigation bar has changed quite a bit and there’s a new feature in IE that all of you Mozilla Firefox users have enjoyed for some time. Yes, I’m referring to tabbed browser windows. Admittedly, I’ve been an Internet Explorer junkie all along and I guess I just didn’t know what I was missing, but it appears that Microsoft has taken it a bit further by allowing you to launch multiple home pages in browser tabs which I’m finding to be very useful. So now when I launch IE 7, it automatically launches five web sites for me: an internal web-based monitoring application, Google, two Web Sites from our distributors that I utilize daily and of course eBay. Connectivity to all five of these sites at once seems quick and responsive. Nice job Microsoft.
Now it’s time for me to create a PDF file from an Excel spreadsheet so I can email a quote to one of my clients. Rutt-row.. Adobe Acrobat 6.0 won’t run. We’ve now hit the first application in the IDSI stable that simply won’t perform under Vista. Since we’ve been hearing about issues with Acrobat, this really didn’t come as much of a surprise. The fix... Upgrade Acrobat to the latest version, 8.x. Yes, this could get expensive at $99 per user, but it’s much better to find out now than in the middle of a bunch of upgrades. I’m glad I skipped the Acrobat 7 upgrade because it doesn’t work with Vista either. Since we receive much of our correspondence in PDF files from the various vendors that we support, I quickly downloaded the free version of Acrobat Reader 8.1 and put an order in for an upgrade to Acrobat Standard Edition 8 so that I can create PDF’s as well as read them. I haven’t received this new version as of yet, but Adobe’s web site claims full functionality with Vista and their new version. I guess I’ll trust em.. So I’m pleased to report that my experience in an active business environment thus far has been relatively painless. As each day goes by, I seem to find some neat new feature(s) that I didn’t have before. As for performance, let me just say that Vista is not a lean, mean computing machine. It does require some horsepower to perform well. I began by running my newer Pentium 4, Single Core 3.0 Ghz computer with 1GB of RAM and it was quickly evident that due to my shared video RAM, that simply wasn’t going to be enough. It didn’t take long for me to make my way to the IDSI stock room for a Video Card upgrade with 256MB of memory. Once installed, my system stopped thrashing its hard drive every time I clicked my mouse and performance increased to acceptable levels as a result. Printing has been painless but admittedly I’ve only had the need to print to my local LaserJet and have not yet setup my network printers (yes, I’m going to call a tech). As of the time of this writing, I have not yet installed the Castelle FaxPress client to test network faxing however it’s on my short list of things to do. Joe??? So I know this has been one of my more lengthy articles and as I burn the midnight oil writing this, I find it to be an important one. I’m glad you’re still with me. If you’ve been in a mega-store lately, you’ve probably already noticed that virtually all of the new home-based PC’s in the retail stores are now coming with some flavor of Vista – mostly Vista Home Basic (yuck! – don’t buy). We at IDSI are also seeing a shift in available business-class systems that we purchase through our distribution channel as it relates to Windows XP –vs- Windows Vista. While currently, we can still purchase Windows XP Pro systems and downgrade rights from Vista Business to XP Pro on systems that come pre-loaded with Vista Business, the writing is clearly on the wall that Microsoft will be forcing their new operating system on business-class systems in a very short period of time. With slight hesitation, yet being in the computing business since the early 80’s, let me just say that I believe Windows XP Pro will become scarce in 2008. That said, I feel that many of our clients will take value in our initial experiences with Vista and I would advise that they perform comprehensive testing of their own applications for compatibility. No worries, you’re not alone and we’re here to help. After my initial, albeit brief deployment of Vista, I would highly recommend purchasing at least one new system with Windows Vista Business so we can begin to uncover precisely what compatibility issues are on the horizon for your particular business setting. There’s simply no worse drain on productivity than deploying new desktops with a new operating system, under-the-gun in a live environment just to find out in mid stream that you now have more business problems than you can tolerate. It also makes my engineers crazy and lord knows, we’ve gotta keep them happy! The moral of the story: Like it or not, it’s coming.. Prepare to be Vista-fied.

| | In this issue... | | | July 2007 | Got Backup? | | Independence Day Schedule | | | Got Backup? | | | Links | | This month we’re going to talk a bit about the critical nature of backing up your data. Recently, we had a customer lose a significant amount of data when two of their hard drives failed in their server and we want to make sure that we spread the word about the importance of making sure that your backup solution is working. The fact of the matter is that hard drives do fail on occasion. Why? Because they are the most abused component(s) within your network. The hard drives within your server are spinning 24 hours a day, 7 days a week whether or not you’re accessing data. Components that spin tend to have a higher failure rate over time than ones that do not. A typical server implementation from IDSI will nearly always include redundant disks or hard drives. While it’s pretty rare to lose more than one drive at the same time, the fact of the matter is that it can happen. So what we’ve got to do is to make sure that our clients are indeed getting good data backups on a regular basis. Is it normal to have a failed backup every now and then? Sure it is, however if this is happening to you on a regular basis, then you should be forwarding your backup logs over to us for analysis. One of the biggest misunderstandings that we see with our clients is that they assume that by changing the tape on a daily basis that they are getting a good backup. In fact, we’ve seen cases where the customer religiously changed their tapes for months, but not a single file was ever written to any of the tapes. This is usually because the backup job was waiting for attention. So what can cause this “waiting for attention” to take place. Well, a number of things actually and that’s why it’s so important that you have someone within your organization that checks your backup logs on a daily basis. Below are some of the most common reasons as to why the backup may need attention: - Media Failure – Tapes do go bad and should be replaced annually
- Asking for a 2nd Tape – When your data exceeds the capacity of your tape, Backup Exec will ask you to insert the 2nd tape. It will not continue the backup job until you do so and acknowledge the message within the backup software.
- No Tape in Drive – If you forget to put in a tape just once, your backup will not run again until you insert a new tape and acknowledge the error message.
- Tape Drive needs cleaning – This is critical, you should insert your cleaning cartridge at least once a week. If you don’t have good cleaning cartridges, be sure to give us a call to order some. This is something that you will need to purchase on occasion. Cleaning tapes are typically only good for 10 to 20 cleanings.

To register to attend ITEC 2007 for FREE go to the ITEC registration page and choose one of these 3 options:
- Full conference pass
- One day conference pass
- Keynote/Expo Pass At the bottom of the registration page, there is a section called "Source Code Information". Directly underneath that bar, there is a question that asks, "How did you hear about ITEC?". Please choose "Other" and insert IDSVIP in the space provided. This will enable you to attend ITEC for FREE! If you have any difficulties feel free to give us a call and we will assist you with registering.
